You prepared the post, set the time, and when the moment came nothing appeared on Instagram — the post sits in the Posts list with the status Error. Publishing depends on Instagram accepting the file, on permissions and on your daily quota, and each of those fails differently. This guide helps you read the error note and find the right fix.
⚠️ Note: A published post cannot be changed from the panel. There is no way to edit an Instagram post through the API; to correct the text you have to delete the post on Instagram and publish it again.
You may be seeing one of these situations:
The post is in Error with a note under it.
The post is stuck in Scheduled and the time has passed.
The post is stuck in Publishing.
The post was never created and you got a warning while saving.
A concrete example: a restaurant schedules a food video shot on a phone as a Reel and publishing fails. The note says Instagram could not process the file. The video is landscape rather than 9:16, and it runs slightly over 60 seconds. Re-cropping it vertically and exporting as MP4 lets the same post publish without trouble.
With file problems, the fastest route is to bring the file to the size that type expects, rather than changing the post type.
Read the error note
Every failed post carries a line underneath saying it could not be published and why. That reason points straight at the fix.
Open Posts.
Tap the post in the error state.
Read the error note and match it below:
"The Instagram publishing permission has not been approved yet." The account has not been granted publishing access. Your prepared posts wait in the queue and publish by themselves the day the permission arrives; there is nothing for you to do.
"Instagram could not process the file." Change the file or its aspect ratio and try again.
"Instagram received too many requests right now." It is retried automatically shortly.
"Instagram could not be reached." A temporary network problem; it is retried.
"The daily publishing quota is used up." You have hit the 24-hour ceiling.
"Publishing is off for this portfolio." A plan limit.
After the fix, press Retry.
Check the file limits
The most common reason publishing stops is a file outside the range Instagram accepts. The limits are Meta's and differ by type.
Photo: at most 8 MB; aspect ratio between 4:5 and 1.91:1.
Feed video: at most 60 seconds and 100 MB.
Reels: at most 15 minutes and 300 MB; 9:16 is the suggested ratio.
Story: a photo, or a video of at most 60 seconds.
Carousel: at most 10 items; items may be photos or videos.
The panel warns you while you pick the file: the file is too large, the video is too long, or the aspect ratio is outside the range Instagram accepts with the suggested ratio named. If the format does not fit, it asks you to re-upload as JPEG.
Caption and tag limits
Text limits are checked while saving and stop the post from being created at all.
Caption: at most 2,200 characters.
Hashtags: at most 30.
Mentions (@): at most 20.
Collaborators: at most 3.
People tags: at most 20, and photos only. You cannot tag people on a video or a Reel.
Stories have no caption and no collaborators.
A cover frame can only be chosen for Reels.
Scheduling problems
If the post stays Scheduled past its time, it is a queue or quota problem.
Look at the remaining quota line, shown as the number left out of the ceiling. If all 100 posts in the last 24 hours are used, the new post publishes when quota frees up. Stories do not count towards the ceiling.
Confirm the time you chose is not too soon; the panel states the minimum lead time in minutes.
Confirm you did not pick a date too far ahead; the panel states the maximum in days.
Check the account's time zone. Times in the calendar are shown in the account's time zone.
Confirm the connection shows as Active. Queued posts are not published while it is down.
If it is stuck in Publishing
Publishing is the stage where the file is handed to Instagram and Instagram processes it.
Wait a few minutes. Large videos can take a while to process.
If the status still does not change, refresh the page.
When it turns to Error, act on the reason in the note.
For "Instagram could not process the file", re-export the video at a lower resolution with standard encoding (MP4 / H.264).
Other known issues and limits
The licensed music library is not in the API. You cannot add a track from Instagram's music library to a Reel published from the panel; that is a limit on Meta's side.
A published post cannot be edited, only deleted on Instagram.
Cancelling and deleting are different. A cancelled post is not published but stays in the record; a deleted post leaves the list.
