The exact meaning of the Draft, Scheduled, Uploading, Published, Error and Canceled badges, which actions each one allows and how the statuses turn into one another.
The coloured badge on a post card tells you where the item stands right now: still being prepared, waiting in the queue, on its way to Instagram, or stuck somewhere. There are six statuses and each allows different actions. On a Published item, for example, the Delete button never appears.
What the six statuses mean
Draft — The item is saved but not scheduled. Because the editing screen saves a draft at every step, records in this status appear on their own. No limit is checked on a draft: a missing file, an over-long caption or an invalid time are not treated as problems. A draft is never published by itself.
Scheduled — The item is in the queue waiting for its hour. When the hour comes the panel takes it, sends it to Instagram and the status changes. This status also means "waiting for a temporary reason": items waiting for permission, items deferred because the daily allowance is full and items due for a retry after a temporary error all show as Scheduled. When there is a reason, it is written in the note under the card.
Uploading — The file has reached Instagram and Instagram is preparing the content. For videos and Reels this can take a few minutes; for photos it usually passes within seconds. The panel re-checks the state each round and publishes once it is ready.
Published — The post is live on Instagram. This status cannot be undone: the item cannot be edited, canceled or deleted.
Error — The item failed permanently and is waiting for you. The reason is written under the card as "Not published: …". The panel does not retry on its own in this status; you fix it and try again.
Canceled — You removed the schedule. The record stays, is not published and waits on the History list. It can be brought back later with Try again or Edit.
Which status appears on which list
The three lists on the queue screen are split by status:
Waiting — Scheduled, Uploading, Error
Drafts — Draft
History — Published, Canceled
An item moves between lists as its status changes. That is why the post you think has "disappeared" is usually on another tab.
Which actions each status allows
Draft — Edit, Delete
Scheduled — Edit, Cancel, Delete
Uploading — Edit, Cancel, Delete
Published — none
Error — Edit, Try again, Delete
Canceled — Edit, Try again, Delete
The buttons in this list also depend on permissions: Edit and Delete need the editing permission, Try again and Cancel need the publishing permission. Try again only appears on failed and canceled items, and Cancel only on items that still hold a schedule.
How the statuses turn into one another
These are the common routes:
Draft → Scheduled: you press Schedule on the editing screen.
Draft → Published: you press Publish now and Instagram accepts the content straight away.
Scheduled → Uploading → Published: the normal route. The hour arrives, the file reaches Instagram, the post goes out.
Scheduled → Error: Instagram rejects the content permanently (a bad ratio, for instance) or the temporary errors run out.
Error → Scheduled: you press Try again; the item enters the queue immediately.
Scheduled → Canceled: you press Cancel.
Canceled → Scheduled: you give a new time with Try again or Edit.
Uploading → Published: Instagram finishes preparing. The panel continues in the background and you need to do nothing.
There is no route out of Published into any other status.
⚠️ Note: An item sitting in Scheduled does not always mean "waiting for its hour". If the hour has passed and it still shows Scheduled, read the note under the card: it may be waiting for permission, the daily allowance may be full, or it may be inside a waiting period after a temporary error. Badge colours
The colours are there to tell statuses apart quickly: Draft and Canceled are neutral, Scheduled uses the brand colour, Uploading is amber, Published green and Error red. The cards on the calendar use the same colour scheme.
Where you see the status
As a badge at the top left of the card in the Queue list.
On the cards in Calendar view: because the calendar only shows scheduled and published items, you never see the Draft status there.
Indirectly in the post grid on the My profile screen: posts published from the panel carry a small badge.
A concrete example
A bookshop schedules a Reel for tomorrow at 17:00. The route the item takes:
While moving between steps on the editing screen the record sits in Draft.
The moment Schedule is pressed the status becomes Scheduled and the card joins the Waiting list.
At 17:00 tomorrow the panel takes the item, hands the video to Instagram and the status becomes Uploading.
Instagram finishes preparing the video in two minutes; the status becomes Published and the card moves to the History list. The card reads "Published: 1 Oct 2026 17:02".
A day later the same bookshop sees Error on a video shot in landscape; the note says the file could not be processed. They crop the video to portrait, save with Edit, the status returns to Scheduled, and this time the item publishes without trouble.
Reading the statuses correctly lets you understand why a post did not go out instead of guessing.
