The three lists on the Queue tab, the remaining-allowance counter, the status and error notes on each card, the edit/retry/cancel/delete buttons and bulk actions in selection mode, one by one.
If you scheduled a post and cannot tell whether it went out or got stuck somewhere, the Posts screen is exactly for that: every item you prepared sits here with its status and its time. This guide walks through every box, every button and every number on the screen.
⚠️ Note: Every role can see the list, but the action buttons depend on permissions. New post, Edit and Delete need the editing permission; Schedule, Cancel and Try again need the publishing permission. These buttons are never drawn for the agent and viewer roles.

Opening the screen and its tabs
The entrance to the Posts section is on the My profile screen.
Open My profile from the left menu.
Tap the Create post link under the Account sections heading.
The screen that opens is titled Posts.
Under the title there are two tabs: Queue and Calendar. This article covers the Queue tab; for the grid view see Calendar view.
To the right of the title sits the New post button. The back link at the very top returns you to My profile.
The three lists: waiting, drafts, history
Below the tabs there are three links, each showing items in a different state. Only one is open at a time.
Waiting — scheduled items, items currently uploading and items that failed. This is the default list; it is what you see when you open the screen.
Drafts — items not scheduled yet, left half-finished. Because the editing screen saves a draft at every step, there may be more records here than you expect.
History — published items and items whose schedule was canceled.
An item appears in one list only: as its status changes it moves between lists. A failed item queued with Try again, for instance, returns to Waiting.
When a list is empty you see a frame reading "No posts in this list." That does not mean your account has no posts at all — only that this tab holds no records.
The remaining-allowance counter
To the right of the list links sits a line in the form Remaining: 97 / 100. The first number says how many posts you can still publish within the last 24 hours; the second is the cap.
When the allowance runs out entirely, a yellow warning appears above the list: "All 100 posts allowed in the last 24 hours have been used. New posts go out when the allowance frees up." Nothing you scheduled is deleted in this case; items wait in the queue and go out as the allowance frees up.
How the cap is counted, why stories are exempt and whether posts made from the Instagram app count towards it is explained in The daily posting allowance.
What a post card tells you
Every item is drawn as a card, with the cover on the left and the details and buttons on the right.
Cover — A thumbnail of the content's first item. If the item is a video you see a film icon; if the cover cannot be read, a crossed-out image icon. Videos not showing a preview frame is normal.
Status badge — The item's current status: Draft, Scheduled, Uploading, Published, Error or Canceled. Their colours differ; what each status means is covered in Post statuses.
Type label — The small uppercase text next to the badge: Post, Video post, Reels, Story or Carousel.
Time — For scheduled items the publish time; for published items the moment it went out, as "Published: 28 Sep 2026 14:30". Drafts with no time show "No time chosen". Every time is written in the account's time zone.
Caption — The first two lines of the post's caption. If there is none it reads "No caption" (normal for stories).
Note line — Drawn only when there is something to say; it is small and red. It has two forms:
Not published: … — The item failed and the reason is written here, for example "Instagram could not process the file."
Permission text — "Instagram publishing permission (instagram_content_publish) has not been approved yet. Your posts stay in the queue and go out on their own the day the permission arrives." This is not an error: the item stays in the queue and publishes once the permission arrives.
💡 An item waiting for permission needs nothing from you. Do not delete it and do not retry it; the panel tries again by itself every six hours.
The action buttons on a card
Which buttons appear is decided by both the item's status and your role.
Edit — Opens the editing screen. It never appears on published items; a published post cannot be changed from the panel.
Try again — Queues the item immediately. It only appears on Error and Canceled items. It resets the attempt counter and the error note and sets the publish moment to "now".
Cancel — Removes the schedule. It only appears on Scheduled and Uploading items. It asks for confirmation: "Cancel this scheduled post? The record stays, but it will not be published." A canceled item moves to History and stays there; it can be brought back later with Try again.
Delete — Removes the record entirely. It asks for confirmation: "Delete this post? This cannot be undone." It never appears on published items.
⚠️ Note: If you press Cancel while an item is Uploading, the panel re-reads the status right before sending the publish request to Meta and genuinely stops the job. But if the file has already reached Instagram and the publish request has gone out, the post may be live — and a published post cannot be taken back.
Bulk actions in selection mode
When dozens of drafts pile up, deleting them one by one is tiring. The selection button at the top right of the screen turns on selection mode.
Tap the selection button next to the remaining-allowance line.
Tap the cards you want to act on.
From the action bar that appears at the bottom of the screen, choose Cancel or Delete.
Confirm. The bar reports how many records were updated.
There are four rules worth knowing:
Selection covers only the page on screen. If you change tabs or move to the next page, the selection is dropped.
On the Drafts tab there is no Cancel; a draft has no schedule to begin with.
Published or meanwhile-deleted records are skipped, and the result message says how many: "12 posts updated, 2 skipped (already published or removed)."
At most 100 records are processed in one go.
A bulk action is identical to the single action: the permission, status and channel checks run separately for each record. Selection mode does not bend any rule; it only removes the repetition.
Pagination and times
The list shows 12 cards per page. At the bottom sit Previous and Next with the page number. Changing pages keeps the tab: pressing Next on the second page of Drafts keeps you in drafts.
Every time is in the account's time zone. This matters so that the calendar and the queue show the same item at the same hour: if your browser's time zone differs, the panel still uses the account's. You can change the account's time zone in the account settings; when you do, the actual moment of scheduled items does not change — only the hour written on screen is re-rendered in the new zone.
Common mistakes and how to fix them
I cannot find the post I scheduled. Most likely the scheduling was never completed and the record stayed a draft. Check the Drafts tab: the editing screen saves a draft at every step, but the item does not enter the queue until Schedule is pressed.
I canceled it and then changed my mind. A canceled item is not deleted. Find it on the History tab and queue it with Try again, or open it with Edit and give it a new time.
I do not understand the error note under the card. The notes point straight at the fix. What each note means and what to do about it is listed in My post was not published.
I cannot see the Delete button. Two possible reasons: the item is published (published records are not deleted), or your role does not carry the editing permission.
The list looks out of date. The queue screen does not go to Instagram for data; it shows the panel's own record. Publishing jobs run in the background within minutes, and refreshing the page brings the current state.
If a button you expect is missing, check your role and the item's status first; if the problem persists, contact our Support team.
