The moment more than two people help you run the business, "who can touch what" turns into a daily annoyance: you do not want an intern editing the price list, and your bookkeeper has no reason to read customer chats. The Team screen is where you set that balance; it shows who you invited, what role everyone holds and which accounts they can open. This guide walks through every section, every column and every button on the screen.
⚠️ Note: Only the portfolio owner and its admins can open the Team screen. Editors, agents and viewers never see portfolio settings — the gear icon in the account switcher is not drawn for them. Details: Where settings live.

Opening the screen
Open the account switcher at the top left.
Click the gear icon next to the portfolio name. Portfolio settings opens.
Click Team in the list on the left.
The team belongs to the portfolio, not to a single Instagram or WhatsApp account. So do not look for a team section inside account settings; if an old bookmark or email link sends you to the account address, the panel forwards you to the portfolio's team page on its own. The header row and the seat badge
At the top of the page sits the Team title, and under it a one-line description: it names the portfolio and reminds you that each member reaches either all accounts or the ones you pick. If you have not named the portfolio yet, the same sentence appears in its unnamed form.
To the right of the title is a badge, in one of two forms:
Team 3/10 — Your plan has room for 10 people, 3 are taken.
Team 3 · unlimited — Your plan has no people limit.
That number is counted a little differently than you might expect: pending invitations occupy seats too. For the details and for what to do when the limit is full, see .
The first section on the page is Invite a member, and it has four parts: Email, Role, Account access and the Send invitation button. On desktop all four sit on one row; on a phone they stack.
If your team limit is full, a warning strip appears at the top of this section and states how many people the limit allows. The Upgrade plan button on that strip is shown only to the portfolio owner, because the owner manages the plan.

💡 This section is drawn only for people who may invite. Owners and admins can send invitations; no other role can even open this page.
The Members list
The Members section is the team as it stands today. Rows are listed in joining order and carry four columns.
The person column
On the left is a circle with the person's initial, next to it their name and under it their email address. Your own row shows a You badge next to your name; that badge also explains why your row has no buttons.
The role column
On rows you may change, this column holds a dropdown. The box saves by itself: the moment you pick a new role the save starts, a small spinner appears beside it, and when it finishes a "Role updated." notice appears. Do not look for a separate Save button — there is none.
If you work with the keyboard, stepping through the roles with arrow keys is safe: the save waits briefly until you stop, so the roles you passed through are not written. Pressing Enter, or moving on to something else, sends the pending save immediately.
Three rows show a plain badge instead of a dropdown:
The portfolio owner's row — Ownership is not a role that can be handed out or taken back.
Your own row — Nobody can change their own role.
When you lack the permission — Everyone who can open this page has it, but the rule is enforced in the interface all the same.
The accounts column
This column summarises which of the portfolio's accounts the person can open: All accounts, or a count such as 2 accounts. For owners and admins, hovering the badge shows "Owners and admins always access every account."
The actions column
All of a row's buttons sit together on the right:
Edit access — Opens the account access section described below. It is not drawn for owners, for admins, or on your own row.
Remove — Takes the person out of the team. Only the portfolio owner sees this button. For the consequences, see Removing a team member.
The Account access section
When you click Edit access on a row, a new section titled Account access opens below the list. Next to the title you see who is being edited (name and email), so you do not save the wrong person in a long list.
The section holds a single dropdown (Accounts they can access) and, once you pick the narrower option, a list of accounts; Save and Cancel sit underneath. Cancel returns you to the member list and keeps the page you were on.

Pending invitations
The last section on the page shows invitations that were sent but not yet accepted. The columns line up with the member list; only the first heading differs — it reads Email:
Email — The invited address, with the Expires date underneath.
Role — The role that will be granted on acceptance (it cannot be changed here).
Accounts — The accounts that will open on acceptance.
Cancel — Withdraws the invitation and frees the seat.
When nothing is waiting, the section reads "No pending invitations."
⚠️ Note: You cannot edit an invitation's role or account access afterwards. If you sent the wrong one, press Cancel and invite again with the right settings.
Collapsing sections and paging
The sections on this page collapse, and only one stays open at a time. Each time the page loads, the section you are actually working in opens: Account access while you edit someone's access, Pending invitations when you paged through invitations, Members when you were browsing the list, and Invite a member when none of those apply.
Both lists page independently, and the two counters do not affect each other. The Previous / Next buttons and the "Page 2 of 4" status underneath belong to that list; paging the member list does not move the invitations.
The screen on phone and tablet
On a phone the columns do not fit side by side, so each row becomes a labelled card: the person's name and email on top, then Role, Accounts and the action buttons stacked with their own labels. The account picker scrolls inside itself, so the page does not stretch and push the Save button off screen.
The invitation form stacks on a phone and Send invitation moves to the bottom. When you choose accounts, the list opens inside the form — you are not taken to a separate screen.
Common mistakes
Looking for the team in account settings. The team belongs to the portfolio. Go to Portfolio settings › Team.
Trying to promote yourself. Your own row has no role dropdown; that is deliberate. The portfolio owner changes your role.
Trying to limit an admin to one account. The admin role manages the portfolio, so its account access is always all of them. To limit someone to a single account, make them an editor, agent or viewer.
Reading a missing invitation as membership. If a row disappeared from pending invitations, the person either accepted it (they are in Members now) or the invitation expired.
Changing the role dropdown and waiting to save. The box saves itself; stay on the page until the notice appears.
